Use an Outdoor-Project Decision Log to Control Scope and Selections

An outdoor project connects property records, product selections, site conditions, delivery, responsible work, and approvals. A dated decision log helps the owner and project team see what is confirmed, what remains open, and which document controls the next step.

The log supports communication. It does not replace surveys, signed agreements, approved drawings, engineering, specifications, change orders, permits, manufacturer instructions, inspections, or professional responsibilities.

Create a record for every material decision

Assign a unique identifier, short title, location, responsible person, date opened, required decision date, status, and approval date. Link the entry to the applicable survey, plan, proposal, product record, finish sample, HOA response, permit record, meeting note, or approved change.

Separate property facts from assumptions

Record the source and date for property lines, easements, setbacks, utilities, access, slopes, drainage, flood information, septic or well areas, and restrictions. Keep unresolved questions visible. A map, photograph, retailer diagram, or previous project does not establish the controlling condition for the current address.

Capture exact product and delivery information

When known, record manufacturer, model or item number, components, dimensions, finish, accessories, source, price-review date, availability check, delivery assumption, and installation responsibility. Distributor credentials and confidential pricing belong in the protected system, not general comments.

Connect selections to affected work

Identify known effects on layout, foundation or anchoring review, utilities, grading or drainage, access, delivery equipment, assembly, permits, maintenance, warranty, price, and schedule. If an effect has not been evaluated, mark it unresolved rather than assuming compatibility.

Preserve changes and approvals

Mark earlier records superseded and identify their replacements. Link any scope, price, or schedule change to the written approval process. Before procurement or field work, confirm that affected parties received the current controlling information.

If new property facts or unresolved conditions require the scope to be revisited, return to the outdoor-living consultation checklist and update the project record before the next decision.
